Dear Alumni,

Congratulations on your upcoming XXth reunion! VillaMadonnaAcademy cherishes our alumni and we are here to help your class with its reunions. Below is a list of tasks the Advancement Department offers for organizing reunions:

o   Notifying class representatives during the first quarter of the year preceding 5th reunion years.

o   Providing reunion planning tips and sample ideas to begin the planning process.

o   Running any needed class contact lists for the reunion organizers (i.e. names, addresses, e-mail addresses, telephone numbers, etc).

o   Printing mailing labels with class names and addresses for reunion mailings.

o   Sending out e-mail blasts with important information to the class.

o   Arranging for meeting with archivist to look through photos of your class.

o   Promoting reunion details and photos (pre and post reunion events) on the alumni home page of the VMA website and on the Villa Madonna Academy Alumni Facebook page.

o   Answering any questions reunion organizers may have.

o   Giving tours of VMA during the reunion to classmates.

We have many ideas and examples to help jumpstart your reunion planning process.  These ideas have been developed based on helpful information other classes have shared with VMA about organizing their reunions.  You can find the following example pages on Villa’s website at www.villamadonna.net:

-          Sample Timeline of Events

-          Suggested Weekend Events

-          Class Reunion Organization Do’s and Don’ts

-          Sample Initial Contact Letter to Classmates (3 examples)

-          Sample Reunion Planning Surveys (3 examples)

-          Reunion Budget

-          Event Detail Summary/Invitation Mailing (3 examples)

-          Memory Books (plus a sample questionnaire and autobiography page)

Go to the Alumni tab of Villa’s website and then click on Reunions.  Choose Reunion Planning Ideas to find the sample pages listed above.  We hope these materials will be of use as you start planning your class reunion, but keep in mind that they are only suggestions; use what you think will work with your particular class.  Planning a reunion can be a fun and rewarding experience, and we hope these sample pages will simplify the process for you.  If you would like a hardcopy or electronic version of the sample pages listed above, please feel free to contact me at (859) 331-6333 x 140 or at .  I will be glad to help with any questions that should arise.  One final suggestion: remember to ask for e-mail addresses on all correspondences with classmates.  And please send us pictures from your reunion!

Sincerely,
